Please note:

  1. The various dates and times listed above will be strictly enforced. Exhibitors and booth contractors are advised to adhere to the above-mentioned times and dates.
  2. Entry and exit of goods during the daily exhibition hours are strictly prohibited. These may be allowed before or after the exhibition hours at the discretion of the organisers and written request from exhibitors.
  3. Exhibitors are advised to commence packing their exhibits and belongings assoon asthe exhibition ends on the last day. Arrangements with the freight forwarders will have to be made in advance by exhibitors. Dismantling of certain shell scheme stands will commence immediately upon exhibition closing.
  4. If booth contractor fails to meet the above-mentioned deadline for final completion of booth building/dismantling, then the complete given security deposit by the booth contractor will be fully forfeited as a penalty charge for non-completion of booth on time.

FORM 3 – NAME ON STAND FASCIA

Exhibitors must complete and return this by 15th September 2024. (Applicable for shell space exhibitors only) A Fascia panel will be running the length of open sides of the stand and will have the exhibitor's name in uniform lettering. Please give here exactly how the name of your company is to appear on the fascia.

If the form is not received on the due date, the name as supplied in the space application form will be put on the fascia. (Please fill in Capital letters, use one box for each letter and a blank box for space)

A Fascia panel will be running the length of open sides of the stand and will have the stand number and exhibitor's name in uniform lettering. Please give here exactly how the name of your company is to appear on the fascia.

If the form is not received on the due date, the name as supplied in the space application form will be put on the fascia.

Once the fascia name is submitted, no changes will be done and the same name will be displayed on your booth fascia. For any changes after the submission of this form or onsite during setup days, INR 3,000 will be applicable for per changes.

Important Notes:

  • All text will appear in UPPER CASE. Text must not exceed 30 characters. Abbreviations will be used, e.g. Limited = Ltd.
  • Exhibitors must have the fascia’s board visible throughout the event and under no circumstances can art work be placed on any fascia boards.
  • Indian companies cannot give the names of their foreign principals (conditions apply).
  • Any changes/alterations after the above deadline do not entail a confirmation that they will be executed on a priority basis. If executed, additional charges will be levied.

THIS FORM APPLIES TO ALL RAW SPACE STAND EXHIBITORS

Exhibitors are reminded that they are free to appoint a contractor of their choice to design, embellish or build their stands. However, in the interests of security, all contractors are required to register with the Organisers by completing the form below before the deadline.

All design proposals must be approved by CKD BUSINESS TECHNOLOGY and should conform to all statutory requirements. 3D drawings with all the dimensions mentioned in it should be uploaded in this form alternatively it can also be e-mailed to [email protected] before 15thSeptember 2024 and must show the plan and elevation of the stand and its fittings, state materials and fire protection to be used, describe moving exhibits, projectors and displays and give details of measurements, weights and loading of all exhibits.

  • The maximum height of booth construction will be restricted to 4.00 meters only.
  • All booth decorations to be used at the booth, e.g., wording, exhibits to be displayed in the booth are subject to the Organisers approval. The Organisers reserve the right to reject the booth design which is deemed inappropriate to the show and/or not relevant to the specific product sector in each hall. Exhibitors are required to alter the booth design as per the Organisers request. Failure to comply will result in the cancellation of your booth.

Important Note:

  • Please refer move-in / move-out schedule in the “Operation Schedule” of the exhibitor manual, for booth build-up and dismantling timings. Exhibitors/contractors will not be allowed to work beyond the specified time 06.00 pm. on 06th October 2024.
  • Please refer to the rules and regulations in “Technical Regulations” for more details.
  • Stands in the exhibition are recommended, irrespective of height, to have at least half of the open sides (frontage/sides) open or fitted with transparent material to the underside of the fascia. It is advisable to keep at least 30% of the floor area free for smooth movement of visitors ensuring equal access & information to all.
  • Refundable Security deposit of INR 50,000/- per stand is to be paid in demand draft by the Special stand fitting contractor along with the design submitted for approval. The bank demand draft should be in favor of “CKD BUSINESS TECHNOLOGY” payable at Mumbai If the contractor is giving cash instead of Demand Draft at the time of taking possession, then Rs. 5000 + tax will be deducted as a cash handling charge. This security deposit will be fully forfeited in case your appointed stand construction company fails to finish the construction of the stand as per the laid timelines. Please note that the security deposit has to be paid by the stand contractor and NOT the exhibitor, unless the exhibitor themselves are undertaking their own stand fabrication.

PLEASE NOTE:

  1. The Freight Forwarder shall solely deal with the exhibitors directly, for all payment and service related issues. Organizer shall in no way be responsible for the same whether before, during or after the exhibition.
  2. It is compulsory on part of the exhibitors to use services of approved freight handling / forwarding agency at the exhibition site. The exhibitors are not allowed to order equipment for assembly and erection work from outside. The packages which can be easily carried in hand can be handled by the exhibitors on their own, if they wish to do so.
  3. Exhibitors should advise transporters to carry a "Weigh-Bridge Certificate" so that there would be proper assessment of the weight to be handled by the approved freight handling / forwarding agency.
  4. Exhibitors should send product leaflets along with the packing list to the approved freight handling / forwarding agency to enable them to study the products in advance for handling at the site.
  5. INSURANCE: Exhibitors should arrange for insurance cover for their booths / machines & all commodities involved throughout all stages of the exhibition, i.e., arrival on site till final departure from site.

Goods & Service Tax

The Govt. of India has levied a service tax on handling charges plus on other charges except re-imbursement expenses to be invoiced by all freight forwarders and handling agents. Therefore the same shall be charged accordingly

REGULATION FOR STAND DESIGN

We thank you for your participation at PRECITECH Exhibition.

Below are the rules and regulationsfor Fabricators. Kindly share this circular with the appointed fabricator.

GUIDELINEANDRULES FOR RAWSPACE PARTICIPATION.

  • Select professional Stall Fabricator
  • Kindly provide an authority letter to the fabricator, the same would be submitted by the fabricator to the organizers.
  • Stall possession will be given only to the official/authorized person fromthe exhibiting company.
  • Fabricator's key person andOn-site supervisor's contact detailsshould be submitted before they start onsite work.
  • Fabricators should follow all the rules and regulations of the Exhibition, which are mentioned in the Exhibitor Manual. Fabricators need to follow the timing strictly. Working will be allowed from 8 am to 8 pm. Overnight working will not allow. No request would be entertained.
  • Fabricators need to bring all design elements in prefabricated form. On-site cutting and painting to be avoided for clean and healthy environment. (Safety first)
  • Fabricatorsshould strictly operate within the allotted working area while fabricating the stall.
  • Fabricators will maintain the area clean and open,to assemble the pre designed Stall.
  • All fabricators with their labors/workers should co-operate with hall managers' instructions during the set-up days to have a smooth and speedy setup.
  • Support of permanent structure is not permitted, nailing, drilling on the floor, and welding is strictly not permitted.
  • In case the fabricators fail to maintain the standard rules and regulations of the exhibition during the setup hours, organizers reserve the right to stop the work and penalty would be applicable to the fabricator (Responsibility of the exhibiting company to recover the damage value from the fabricator)
  • Back Panel facing passage or neighborsstallshould be covered with white flex.
  • Fabricatorsshould carry their letterheads, which would be used as exit passfor moving their material out ofthe halls/venue
  • Regulationsfor Workmen: Itisthe responsibility ofthe exhibitor and their contractorsto ensure that:
  • Their workmen do not enter other exhibitor's stand/ or passage without their permission or in their absence.
  • The workmen do not sleep/cook in the exhibition halls & do not wash clothes or have bath in the toilet blocks.
  • The workmen or exhibitors'staffs do not behave in drunken or disorderly manner. Anybody disregarding the above instructions will be evicted from the exhibition hall.
  • Storage of empties,removal of debris
  • Storage of empty cases/ cartons, in the stand, in passages or in open area near yourstand is not allowed. Exhibitors must remove all debris, empty Cartons and other wastes from their stand daily during the construction period and finally before passage carpeting beginslaid.
  • Safety and Fire Protection
  • Exhibitors are required to strictly follow the regulations laid down by concerned authorities towards safety precautions and prevention of accidents or fire. All electrical installations must be checked by the official electrical contractors before, and other hazardous materials should be used only with written permission ofthe organisers and aftertaking allsafety precautions

Completion of Stand Display

Display in stands/ pavilions must be completed latest by 18:00 hrs on 6 th October, 2024

Entry and Exit of Exhibitor's

Exhibitorstaff will be allowed to enterthe exhibition hall at 9.00 a.m. during exhibition days, and all mustleave the hall by 7:00 p.m. unless written permission has been obtained fromExhibitionHallmanagerto enter early orleave late.

Entry & Exit ofGoods

Entry or exit of goods during the daily exhibition hoursisstrictly prohibited. These may be allowed or afterthe exhibition hours atthe discretion of the organisers, on written request from exhibitors. before

Manning Your Stand

Exhibitors are advised to ensure that their stands are effectively manned during the visiting hours. They should also guard against pilferage of small exhibits during the rush of visitors.

Audio-Visual Equipment Prohibited and Unsuitable Exhibits

The Organiser/ Venue owner may prohibit exhibition, distribution or sale of any article including printed literature which it considers unsuitable or objectionable and may confiscate the same. It can debar the exhibitor from selling/distributing or demonstrating to the public if his conduct orthat of his agentislikely to cause offence to oris otherwise considered objectionable in anymanner.

Cleaning and Collection of Waste

The organisers have appointed a cleaning contractor to clean the passages and other areas in the exhibition halls, to collect the waste from the waste baskets supplied to the exhibitors and to ensure cleanliness of the toilets. However, cleaning of individual stands is the responsibility of exhibitors.

Smoking and other nuisance forbidden spitting, smoking, committing nuisance of any kind or otherwise making any portion of the exhibition space or furniture, walls etc. dirty in any way isstrictly prohibited.

Catering by Authorized Caterers: No catering by any outsiders is permitted in the premises of the exhibition space. Catering services have to be obtained from the authorized caterer appointed by the organisers.

Failure of Electricity Services

is made available from the temporary installation, generator, while every effort shall be made to maintain the services in order, the organisers shall not be responsible for any failure or breakdown or curtailment thereof or any damage/loss caused to the exhibitorthereof.

Commencement for Removal of Exhibits Only after the official closing time, Onsite execution team

will clearance to remove goodsfrom exhibition hall from 8.00 p.m. onwards on 10th Oct, 2024 and vacate the stand latest by 10:00 a.m. on 11 th Oct, 2024. 4 copies of the exit pass duly filled isto be submitted at the organizer's office in the morning of 10th Oct, 2024 for approval and stamping.

These passes can be collected from the same after 4 pm.

All hired items received from our official contractors must be handed over to them in good condition. Any damage of these items will have to be made good by the exhibitors. No goods will be allowed to be taken out of the exhibition halls unless a "Gate Pass" is obtained from site office of organisers listing items to be removed. The Gate Passes will be issued only when all the due of organisers & contractors are settled.

If an exhibitor fails to remove his goods and vacate the stand within stipulated period, the organizer reverses rightto remove the said goods. All cost in this connection will be debited to the concerned exhibitors

Gate Passesfor Removal ofGoods

There is no entry pass procedure during installation period for entering the venue. However, for taking out the exhibition material and exhibits after closure of the exhibition, participants would need to obtain a standard final exit pass from the Organiser. Exhibitors must settle all dues to organisers and/ or various official contractors before the closing ofthe exhibition.

Right of Lieu The organisers reserve the right to refuse Exit Gate Passto any exhibitor if he has notsettled all his dues, and to retain his exhibits or other goods as collateral security, till debts are discharged. The exhibitors expressly indemnify the organisers against claims for damage to their goods held as collateral securit

Insurance & Liability exhibitors are advised to obtain insurance cover against all risks. It is expressly understood that the organisers stand indemnified by the exhibitors in respect of any loss or damage to their goods due to theft, fire, etc. or injury to any person as well as third party claims.

Permission/Concessions all agreements, permissions and concessions granted to any exhibitor shall be valid only if given in writing by an authorized officer of the organisers.

Change of Venue,Dates, and Timing

The organisers reserve the right to change the venue, dates, duration or timings of an exhibition, if the circumstancesso demand, and the exhibitors are bound to accept the decision of the organisers, as long as the exhibitors are informed about the changes either by individual communication or by a press advertisement.

No refund shall be allowed, if an exhibitor withdrawsfrom participation on account ofthe changes. Changes in Floor Plan, Location & Dimensions of Stand. The organisers also reserve the right to make changes in the floor plan, location and dimensions of any stand allotted to an exhibitor or entry/ exit points etc. at any time before the erection ofstands, if such changes are necessary in the opinion of the organisers.

Cancellation of Exhibition

In the event of cancellation of an exhibition due to circumstances beyond the control of the organisers, i.e., due to force majeure, political events, government orders etc. the organisers shall refund to exhibitors only that portion of money paid by them, which is calculated by the organisers after accounting for expenditure incurred. The exhibitors expressly agree to accept the organizer's decision in the matter

Breach of Peace

The organisers reserve the right to close any exhibitor's stand temporarily or permanently. If the exhibitor commits breach of peace in any way or causes disturbance in the normalfunctioning ofthe exhibition. In such an event, the organisers stand indemnified by the concerned exhibitor against any claim of any kind whatsoever

Binding Terms of Contract

The submission of the Application and Contract Form duly signed by an exhibitor, shall be deemed as confirmation of participation in the exhibition, and acceptance of all rules and regulations printed at the back of the application and contract form and in this exhibitor manual as well as any amendments or additions from time to time, notified to exhibitors through circular letters. These are binding on all parties concerned.

ClaimsDeadline

All claims arising out of settlement of accounts and participation in this exhibition must be submitted in writing to the organisers within sixty daysfrom the close of the exhibition, after which the claimsshall not be tenable.

Settlement of Legal Disputes

The competent court and place for settlement of all disputes in connection with these rules & regulation for exhibitorsis Mumbai court jurisdiction, India
